Project Purchasing Representative

Specific Job Summary

 

To perform assigned duties and responsibilities that support an effective project purchasing process.

 

Specific Expected Contributions

 

§ Complete project purchase orders and ensure customer satisfaction through the timely delivery of quality materials.

§ Coordinate and balance individual project workload and monitor critical path to ensure that projects are successfully completed on schedule and within budget.

§ Maintain knowledge of commodity lead times, production scheduling and vendor capacity to support the team’s project requirements.

 

 

General Duties

§ Apply systems technical knowledge and process knowledge in the execution of project requirements.

§ Query vendors/suppliers on lead-times and verify price points in preparation for completing purchase orders.

§ Communicate procurement process requirements to Marriott clients and suppliers.

§ Create project quotations and submit to clients for approval.

§ Execute standard purchasing contracts with approved clients and obtain deposits.

§ Communicate schedule requirements and changes to vendors and installation contractors.

§ Establish and communicate operations/outside owner requirements.

§ Ensure that project verified quantity requirements are included in the Bill of Material and that delivery dates support projected installation schedules.

§ Manage the project procurement process with in-house Project Directors, Interior Design, Consultants, Operations staff, Construction, Estimating, Accounting, Vendors, Outside Owners and Franchise Representatives.

§ Assist in the development of Just In Time delivery schedules with FF&E suppliers,  installers, freight companies, and properties.

§ Ensure appropriate design/drawing approvals and code requirements are met.

§ Request, accumulate, and distribute all necessary flame certificates, warranty and service agent lists, and specification information as required by the operating unit.

§ Maintain project correspondence, documents, and drawings, as required.

§ Inform Interior Designers or client of the need to replace discontinued or long lead items.  Obtain re-selections expeditiously.

§ Complete and implement all Bill of Material changes and notify appropriate associates and/or clients of  changes, cost and delivery impact.

§ Monitor and resolve receipt/inventory issues with receiving locations.

§ Assist in Project close-out procedures, reconciling vendor invoices against commitments and sales contract.  Obtain warehouse and drapery closing inventory reports, research reasons for excess inventory, obtain disposition from client.

§ Resolve damage/loss issues with vendors, carriers, and receiving locations.

 

Communication/Managing Resources

§ Provide supervisor with regular and frequent workload status.

§ Obtain and communicate accurate and timely information to A&C Managers, Project Team and Clients as required.

§ This position incumbent has frequent and significant contact with supplier Customer Service Representatives, Client Representatives, Interior Designers and other Project Team representatives.

 

Training /Development

§ Identify self-development initiatives and training needs to enhance performance and career growth.

§ Develop skills and abilities identified by the supervisor.

 

Sales

§ Apply sales and negotiating techniques, as appropriate.

 

Specific Candidate Profile

 

§ BA degree or  3 -5 years hotel operations, business, or purchasing experience.

§ Proficiency in Microsoft Word and Excel.

§ Strong oral and written communication skills.

§ Exceptional customer service skills (conflict resolution, problem solving, active listening)

§ Ability to manage multiple priorities in a fast-paced environment.

§ Excellent organization skills.

§ Knowledge of Peoplesoft or other purchasing software desirable.

§ Travel may be required.
