TERRITORIAL DONOR MANAGEMENT COORDINATOR
This exempt position is in the Community Relations and Development Department at The Salvation Army Western Territorial Headquarters. Responsibilities of this position include oversight of the management and operation of the Territorial Donor Management System involving all levels of interface, including the entry of data, coding design and maintenance, as well as the analysis and manipulation of data and data reporting.
Preferred candidate will have a Bachelor’s Degree or equivalent work experience, and have certification in computer course of study. A minimum of eight years progressive fundraising experience and working with a donor software system are required.
Ideal candidate will have the ability to design and maintain database systems, coding and reporting functions and possess a comprehensive knowledge of database strategies, systems and data management principles. An advanced, integrated understanding of fundraising concepts, as well as the ability and experience in training personnel in computer and data entry procedures is essential.
The Salvation Army's Western Territorial Headquarters oversee the Western thirteen States and the Pacific Islands and are located in beautiful downtown Long Beach, just steps away from Shoreline Village and the Pacific Ocean. The Territorial Donor Management Coordinator will be based in Southern California and travel extensively through the Territory. ESSENTIAL DUTIES AND RESPONSIBILITIES: Work with the Territorial CRD Team and Command Development Teams to build and oversee integrated systems of efficiency and sophisticated reporting, including coding strategies, segmentation strategies, data integrity, and information output strategies that support the Command CRD Department’s fundraising strategies. Ensure database integrity – conduct weekly and monthly audits to confirm accurate entry processes, maintain user’s security settings for the system, reconcile gift data with Finance Department weekly, monthly and at year-end. Support the production of standard and custom reports (weekly, monthly, on demand), work with staff to identify standard reports that can be run by staff on their own; be point person for custom reporting requests. Must be able to compose reports/analysis using Crystal Reports, MS Access, Cognos Products, SQL Query/Reporting Tools.Coordinate all ancillary programs associated with donor software (Volunteer management, email broadcast tools, etc.)Oversee the gift/data entry process in the commands. Suggest more efficient procedures and achievable magnitudes of efficiency.Prepare and run standardized reports that demonstrate unduplicated results in key fundraising areas – direct mail, grants, major gifts, general contributions, and planned giving on a territorial level. Provide assistance to produce on a command levelMonitor the mail appeal donor list to ensure accuracy of donor segment selection for mail appeal letter production for both standard and unique segmentation.Prepare and run standard reports relating to direct mail appeal performance, including daily income by appeal, income to date, comparison with previous year, comparison by donor segment, zip code, etc.Maintain a viable system with the remittance banking services for proper integration of data into database.Manage all existing codes, and in conjunction with key senior staff, create new values when needed to meet new fundraising strategies.Conduct all global changes and/or data imports required to maintain data.Liaison to service vendors – software, mail house, addresses updating, screening services etc. Liaison to IT Department for database issues – upgrades, special projects, or performance issues.Maintain current understanding of technology developments with donor database and, as requested, in other areas to identify potential users, IE-web technologies, integration opportunities, etc. Transfer procured knowledge and training to appropriate development staff. Provide ongoing assistance to users.Ensure that process/procedural documentation is clearly articulated and is maintained current and easily accessible.Assist in development and delivery of targeted training to current and new users.Assist in regular system back-up and back-up verification of database.
