Position Overview:
 
This position is a part of Corporate Staff — Finance (Export Documentation) and reports to the Team Lead, Export Documentation Services.  This is a Full Time, Non-Exempt position. Number of openings:  3 (1 replacement; 2 new positions).

 

The Export Documentation Specialist coordinates assorted information provided by different sales offices, mills, credit office, marine transportation, shipping lines, container freight stations and freight forwarders to create timely and accurate export documents to international customers.

 

Key Functions:
 
-Organize and manage a desk with documentation for 35 to 40 vessels per month; examine letters of credit and provide critical input to the credit and sales departments to secure validity of the l/c.
-Prepare document packages against payment method such as letters of credit and open account.
-Assemble and distribute final export documentation package for our international customers and their agents abroad to ensure prompt cargo release and prompt payment to Weyerhaeuser.
-Analyze and troubleshoot problem situations and take appropriate actions.
-Review and validate freight request against Marine Transportation bookings.
-Collaborate with internal departments, container freight stations, shipping lines and federal agencies to ensure smooth flow of documentation.
-Prioritize and organize workload within a multi-task and high stress environment.
-Meet critical deadlines for invoicing, mailing documents and month-end closing.
-Maintain accurate and order files for audit trails, US Department of Commerce, Bureau of Census, internal/external audits and US/Arab Boycott.
-Act as a shipping line agent by issuing and signing original ocean bills of lading, assigning on-board dates, validating cargo/containers on board against vessel’s loading reports.
-Filing the shipper’s export declaration on a daily basis with the US Department of Commerce.



 

The following qualifications are REQUIRED:

 

-High school diploma or equivalent; prefer a bachelor's degree focusing on international business.
-1 to 3 years’ work in the international business community is required.
-Thorough knowledge of Incoterms 2000 (internationally accepted terms of export sales). -General understanding of accounting principles.
-Familiarity with geographic locations.

 

The following qualifications are DESIRED:

 

-Bachelor's degree focusing on international business.
-Working knowledge of UCP500 which regulates international bank practices with letters of credit.
-Working knowledge of US Department of Commerce Anti-Boycott regulations, US export rules and regulations; familiar with foreign exchange transaction.
-Fluency in a foreign language is desirable.
