Admissions Training Specialist
Description:
Purpose of the Job/Principal Responsibilities:
The goal of the Training Department is to provide content, process, and skill training to facilitate a steady increase in product and process knowledge, leading to increased performance of the Admissions Advisors. To accomplish this goal, the Training Department will use a three-pronged approach including demonstration, observation, and evaluation of training. Facilitation skills in combination with content expertise (including the Admissions process and program information) are integral components of the Admissions Training Specialist position.
Increasing morale through success is an integral part of the goal. Individual coaching, group training, writing of curriculum, and updating written materials are also a part of the Admissions Training Specialist's role. The Admissions Training Specialist is responsible for staying current in terms of training and coaching trends, modifying and improving training based on participant and management feedback and contributing to decisions to bring in guest speakers and outside experts where appropriate.
The focus of the Admissions Training Specialist is new hire training, classroom and e-learning course leader, workshops, help sessions and one on one coaching.
Typical activities for the Admissions Training Specialist will include:
Coaching and Development of New and Existing Admissions Advisors
o The Admissions Training Specialist will provide supplemental training to Admissions Advisors that have been selected their managers. This will be accomplished through scheduled workshops that will address information relevant to all admissions advisors; help sessions that will address specific information relevant to specific admissions advisors; and one on one coaching that will be provided to individual admissions advisors with specific challenges. Coaching reports will be provided to the Advisor, Director of Admissions and Associate Director of Admission with written feedback and the trainer's plan for the advisor.
New Hire Training
o New Hire Training will be a critical component of the Admissions Training Specialist position. This will include but is not be limited to:
o Preparation of curriculum and delivery of material.
o Updating collateral, new hire binders, slides, and coordinating with other departments including IT and administration to ensure that new hire training is launched successfully.
o Preparing and delivering training modules on an ongoing basis.
Existing Advisor Development
o When additional support is required for existing Advisors, the Training Specialist will research, develop, and deliver training curriculum to existing Admissions Advisors by utilizing appropriate resources.
Curriculum Development and Writing
o Develop curriculum for Admissions training with leader guides, and support other departments as needed.
Research and Outside Resources
o Other tasks as assigned by the VP of Training and Development, Executive Director of Training and the Director of Training.
Qualifications:
o KU internal candidates: Met job requirements as an Admissions Advisor, or another member of a department at Kaplan University - required.
o Non-KU candidates: Successful Sales, Sales Management, or telecommunications sales training background of no less than 1year - required.
o KU internal candidates: Must be able to demonstrate a thorough knowledge of our product and university structure - required.
o Non-KU candidates: Must be able to demonstrate a thorough knowledge of sales techniques and, or training techniques - required.
o Six months training experience preferred for KU employees. 1 year of training experience required for non-KU candidates
o Undergraduate degree preferred.
o E-learning experience as a student, facilitator, or designer is a plus.
Position Requirements/Scope of Job/Skills Required:
o Computer literate with a working knowledge of Microsoft Office and an emphasis in PowerPoint.
o Must be able to work some evenings and weekend hours as needed.
o Must be able to travel to other locations to deliver Phase I and Phase II New Hire Training when required.
o Excellent oral and written communication skills.
o Attention to detail.
o Must have the ability to communicate accurately and positively by telephone, e-mail, and other media to internal customers, including other Kaplan University and KHE departments.
o Ability to follow processes, policy and work effectively on a team and maintain a positive attitude.
Measurement of Success:
o Ability to learn required and updated processes and then follows them correctly and productively.
o Ability to transfer knowledge and skills to Admissions Advisors, Senior Admissions Advisors, and other Kaplan employees.
o Attain low attrition rates of Admissions Advisors during the advisor's first four weeks of employment.
o Ability to improve metrics in specific areas assigned during new Advisor's first four weeks on the floor.
o Ability to work effectively on a team, both within and across Kaplan University departments.
o Ability to display a positive attitude and enthusiasm.
o Strong work ethic.
o Ability to respond appropriately and in a timely manner to participant and management feedback.
o Ability to learn and continually improve training and coaching techniques and skills based on recommendations from management.
