Title: Facilities Coordinator
Location: San Rafael, CA

Role/Purpose: Maintains site to meet high company standards for organization, orderliness, cleanliness, and aesthetics. Proactively coordinates all day-to-day facilities operations, working directly with on-site administrative support and/or property management groups. Acts as building contact "point person" for distribution of general information regarding site. Serves as liaison for any building maintenance need.

Principal Duties and Responsibilities: Manages Remedy System (Action Requests) for service, repairs & maintenance, determining the nature of the problem(s) and either completing the request or recommending appropriate solutions to customers in a timely manner. Coordinates with outside contractors on facilities and equipment repairs and internally with other departments (such as IT). Supports maintenance mechanics and facilities staff by performing duties such as furniture moving, simple mechanical projects, light construction, or exterior clean-up and audio/visual set-up. Provides preventative maintenance support by ensuring proper lighting and the availability of fire extinguishers and other life safety equipment. In some locations may perform light carpentry and/or spot painting. Performs ongoing facilities maintenance inspections of common areas by conducting "walk-throughs" of site to ensure compliance with local health and safety regulations. Models company safety policies and participates in Emergency Response Team efforts. Responsible for timely reporting and correction of any discrepancies using the Action Request process. Develops and maintains positive working relationships with landlord and/or property management and external service vendors. Maintains knowledge of building management's policies and procedures manual and maintains building specific files. - Initiates regular contact with department managers to understand needs and takes action to resolve issues that may arise. May be responsible for communicating to site occupants regarding facilities issues, news, and/or updates. In some cases, may perform the duties of the Facilities Manager during position vacancies or during the Facilities Manager's absence. May perform other activities such as mail deliveries, shipping & receiving, inter-office transportation of equipment, and in some locations, may serve as back-up Receptionist. Leads and coordinates event projects. May provide coaching to less senior Facilities Coordinators.

Requirements: Can-do customer service attitude and approach. Ability to self-motivate and motivate others. Flexibility and willingness to handle a variety of departmental tasks. Proven ability to communicate clearly and concisely in written and oral form. Ability and willingness to complete physically oriented work when required; carry a 24/7-baton pager; work a flexible schedule and overtime when necessary. Proven proficiency at using hand and power tools. Interact diplomatically and professionally with employees at all levels in the company. Coordinate work and/or tasks with many details at one time; recognize, assess and prioritize scheduling needs. Exercise leadership in guiding the work behavior of a group to maximize productivity and teamwork. Proven skill in utilizing Microsoft Applications. Facilities experience helpful not mandatory. Valid California Drivers License Commitment to service, teamwork, and Autodesk, Inc. Ability to lift heavy objects.
