Career Opportunity for Dynamic Administrative Support Professionals with Real Estate Experience

 

Spherion - a top placement firm with local, national, and global opportunities available – is currently seeking a Real Estate Administrative Assistant for a position within a regional medical company.  This position serves as administrative support to the Director of Leasing and Real Estate Services Department. 

 

Responsibilities include: 

· Ensuring smooth office operations and performing a full range of basic clerical duties;

· Preparing correspondence and maintaining confidential records

· Assisting departmental professionals in the functions of the department

· Answering telephones, screening calls, handling inquiries, and providing information concerning department matters

· Reviews, prioritizes, and distributes interoffice and external mail

· Maintains appointment calendar of supervisor and schedules meetings with as requested

· Attends designated committee/management meetings and takes minutes Distributes correspondence and handles follow-up related to the meetings as required

· Assists with development and preparation of various reports and schedules under the direction of the supervisor

· Coordinates adherence to deadlines and completion of special projects, correspondence, and reports

· Provides research and administrative support to special projects

· Prepares data on projects and studies such as updating procedure manuals or analyzing department activities

· Acts as liaison with Purchasing Department

 

 

Requirements include: High school graduation or equivalent including secretarial training. At least four years administrative experience. Prefer candidates having experience worked in a commercial real estate office/industry.  Familiarity with real estate leasing a plus. Successful candidates will demonstrate excellent written and oral communications skills — ability to present and communicate complex information to team and to internal clientele, solid proof-reading skills; display initiative and follow-up skills, high attention to detail, adherence to deadlines and strong problem-solving skills; have strong organizational ability; be proficient in Microsoft suite (Word, databases and powerpoint); Ability to work collaboratively with team, as well as an independent contributor.
