Clerk III- Local 174, Wage Bracket F
Travel and Entertainment Reimbursement Clerk processes daily expense reports for all SPE employees paid through the Corporate Payroll system. Position is responsible for timely reimbursement and allocation of approved business expenses incurred by employees (clients) on behalf of the company. This includes expenses incurred directly by SPE with the clients American Express Corporate Cards and personal credit cards. Performs various auditing, customer service and data entry functions. Training and educating current and new employees regarding policy compliance and proper submission of expenses to ensure maximum cost savings and improved transaction quality are derived from a best in class T&E process.
Also responsible for ensuring appropriate usage, administration duties and expansion of the American Express Corporate Card to maximize efficiencies and revenue to SPE.
• Audit and process expense reports-confirming policy compliance, signature authority, employment status and account coding.
• Provide customer service to corporate clients paid through SPE Payroll, including disbursement research, T&E policy compliance, foreign expense reports and training.
• General tasks (run daily reports using systems queries and assist with special projects as assigned).
Audit & Processing
1. Prioritize daily expense reimbursement requests (e.g. rush items, special handling, production related, etc.)
2. Audit expense reports for policy compliance, supporting documentation, accuracy and verification of appropriate payee.
3. Confirm signature authority and obtain additional approvals as required.
4. Confirm account coding for proper distribution to general ledger.
5. Refer issues to clients and approvers as required and follow-up for resolution.
6. Process (enter) payments in Payroll Mainframe system.
7. Receipt stamp all incoming and outgoing expense reports and record using excel.
8. Forward controlled batches for imaging.
9. Coordinate stop payments and cancel direct deposits with Payroll Department as required.
10. Process any special handling of expense reports as necessary.
Customer Service
1. Prioritize requests, calls and issues as appropriate.
2. Respond to routine requests from clients regarding payment status, company policy, payment history, etc.
3. Escalate unresolved issues to management as required.
General Tasks
1. Assist in various "rotating" duties such as: receiving and distribution of mail, auditing of posted expense reports, filing and packaging of expense reports for imaging
2. Run daily control reports and review for accuracy.
3. Request set-up of account numbers including new social security number when necessary.
Requirements
• HS Diploma required
• Knowledge of standard accounting practices (distribution of related entries to the general ledger).
• Previous experience in the Entertainment Industry is helpful (e.g. residuals/royalties, expense reimbursements, participation, production funding).
• Above average skills Microsoft Windows, Word & Excel, as well as Lotus Notes.
• Prior experience with mainframe applications is a plus.
• Ability to prioritize daily workflow and meet deadlines.
• Accuracy, discretion, oral and written communication skills, and attention to detail a must.
